STUDIO POLICIES - THE MUSICIAN’S DEN (Updated Dec 2025)
Our studio policies are designed to support consistency, flexibility, and clear expectations for families. Please read the details below carefully, as enrollment confirms agreement with all studio policies.
The Musician’s Den operates on two semesters (Fall/Winter and Winter/Spring) and one Summer Session.
SEMESTER TUITION (FALL/WINTER & WINTER/SPRING):
- Schedule: Mid-August to mid-December and mid-January to mid-May.
- Includes: 16 lessons or classes per semester. The number of sessions per month may vary due to holidays and studio closures.
- Closures: Fall Break, Thanksgiving week, Spring Break, and 2–3 weeks between semesters. These breaks are built into the calendar, and make-up lessons are not required.
SUMMER TUITION (June/July):
- Schedule: 7 lessons or classes during the Summer Session.
- Closures: Week of July 4th. This break is built into the calendar, and make-up lessons/classes are not required.
LESSON PACK TUITION:
- Flexibility: Ideal for busy families who need à la carte scheduling.
- Usage: All lessons must be used within the semester or session in which they are purchased. Lessons purchased during the final three weeks of a semester may carry over into the following semester.
- Rescheduling: Allowed with 24-hour notice. Students/parents may reschedule through our Fons scheduling system.
- Participation: Lesson-pack students may participate in studio events and performances if attending consistently and demonstrating preparedness, at the teacher’s discretion.
TUITION POLICIES:
- Payment Options: Monthly billing is the default. Full semester or session payment is also available.
- Late Enrollment: Tuition is prorated for students joining after the start of a semester or session.
- Refunds: Tuition is non-refundable. No credits are issued for missed or dropped lessons.
ENROLLMENT CONTINUATION:
- Automatic Re-enrollment: Students are automatically enrolled in the next semester or session unless we receive a 30-day notice.
- Hold Policy: Taking a break releases your reserved time slot and preferred teacher.
- Summer Notes: Fewer class options may be available. Summer details will be shared in advance.
STUDIO EVENTS:
- Opportunities: Each semester/session typically includes at least one performance opportunity.
- Additional events may include workshops, informal showcases, or community pop-ups, based on teacher availability and student interest.
CANCELLATIONS & MISSED LESSONS/CLASSES:
- Private Lessons: 24-hour notice is required for cancellations. Flexible rescheduling may be allowed for sudden illness. Lessons canceled without 24-hour notice are not eligible for a make-up, as instructors are paid for their scheduled teaching time. Students are responsible for scheduling make-up lessons.
- Group Classes: No make-ups offered. Students may join another group if space allows.
- Refunds: No refunds are given for missed lessons due to illness, vacation, or absences.
- Substitute Instructor: A substitute instructor may be assigned if the regular teacher is unavailable.
- Studio Cancellations: If the studio cancels a lesson or class, it will be rescheduled or applied to an available flex week.
- Discontinuation: A 30-day notice is required to discontinue lessons or classes.
FLEX WEEK:
- Flex Weeks: This semester includes two flex weeks for unplanned absences or inclement weather, separate from scheduled breaks like Spring Break and between sessions. Students still receive 16 lessons and no make-up lessons are required.
POLICY UPDATES:
- Studio policies may be updated as needed. The most current version will always be available on our website.
COMMUNICATION:
- Communication with Coaches: Please do not exchange personal contact information with coaches. All communication should go through Fons messaging or studio admin.
PHOTO & VIDEO RELEASE:
- Media Use: The Musician’s Den may use photos, videos, or recordings for promotional purposes (first names only). To opt out, please email admin@themusiciansden.net.
HEALTH & SAFETY:
- Illness Policy: Students should stay home if experiencing symptoms such as fever or cough. Missed lessons may be rescheduled according to studio policies.
RELEASE OF LIABILITY WAIVER:
- Assumed Risk: Participation in lessons, classes, or studio events involves some risk.
- Release of Liability: The Musician’s Den is not responsible for injuries, emotional distress, or loss of personal property.
- Medical Care: Staff may seek emergency medical care if a parent or guardian cannot be reached. All related costs are the responsibility of the parent or guardian.
- Agreement: Enrollment confirms agreement to all studio policies. Failure to comply with policies may result in dismissal without refund.
