STUDIO POLICIES – THE MUSICIAN’S DEN

Our studio policies are designed to support consistency, flexibility, and clear expectations for families. Please read the details below carefully. Payment of tuition or participation in lessons, classes, rehearsals, camps, or studio events confirms agreement to all studio policies.
The Musician’s Den operates year-round through two main semesters and one Summer Session.
SEMESTER — FALL & WINTER/SPRING
Fall Semester generally runs from August through December. Winter/Spring Semester generally runs from January through May. Exact semester dates are published on the studio calendar each year.
Tuition is based on a student’s reserved place for the full semester and is divided into equal monthly payments. Some months may include more or fewer lessons or classes because of holidays, breaks, and the studio calendar, but tuition remains the same each month.
SUMMER SESSION
The Summer Session generally runs from late May through July. Exact dates are published on the studio calendar each year.
Tuition is based on a student’s reserved place for the full session and is divided into consistent monthly payments.
TYPICAL STUDIO CLOSURES
The studio is typically closed for:
Exact closure dates are published annually. Published closures are built into the studio calendar and do not require make-up lessons or classes. Certain rehearsals, performances, or special events may still take place during closures when announced in advance.
LESSON PACKS
Lesson packs are ideal for students and families needing greater scheduling flexibility. Lessons must be used within the semester or session in which they are purchased. Lessons purchased during the final three weeks of a semester or session may carry over into the following session.
Lesson-pack students may reschedule through Fons with at least 24 hours’ notice. Unused or expired lessons are non-refundable. Participation in performances and events is based on consistent attendance, preparation, and instructor approval.
TUITION POLICIES
Monthly billing is the default payment option. Families may pay the full semester or Summer Session tuition in advance and receive a 3% prepayment discount. Prepaid tuition is non-refundable.
Tuition is prorated for students who begin after a semester or session has started, based on the number of scheduled lessons or classes remaining in their first month.
Tuition is non-refundable, and no credits are issued for missed lessons, classes, rehearsals, or student withdrawals. Families must maintain a valid payment method on file.
CONTINUING PARTICIPATION & WITHDRAWAL
Lessons and classes continue automatically year-round, including the Summer Session. Written notice to discontinue must be received before the next billing cycle on the first of the month.
Taking a break releases the student’s reserved lesson time and preferred instructor. The same time or instructor may not be available when the student returns. Summer scheduling and class options may be more limited.
STUDIO EVENTS
Each Fall, Winter/Spring, and Summer session includes at least one performance opportunity. Additional events may include workshops, showcases, community performances, recording projects, music videos, camps, pop-ups, or other special events.
Participation depends on program structure, student readiness, attendance, instructor availability, student interest, and venue availability.
CANCELLATIONS & MISSED LESSONS/CLASSES
PRIVATE LESSONS
At least 24 hours’ notice is required to cancel or reschedule a private lesson. Exceptions for sudden illness or emergencies may be granted at the studio’s discretion. Lessons canceled with less than 24 hours’ notice are not eligible for a make-up or credit.
Families are responsible for scheduling eligible make-up lessons through Fons. Make-ups are subject to availability and may not be with the regular instructor or at the student’s usual lesson time.
GROUP CLASSES
Individual make-ups are not offered for missed group classes. When space and curriculum allow, a student may attend another comparable class with studio approval.
ROCK BANDS & ENSEMBLES
Individual make-ups are not offered for missed rock band or ensemble rehearsals. Students may not attend another band or ensemble as a make-up.
STUDIO CANCELLATIONS
If the studio unexpectedly cancels a lesson or class because of inclement weather, instructor illness, or another emergency, the studio will provide a substitute instructor, rescheduled lesson or class, account credit, virtual lesson, or another reasonable alternative.
Published calendar closures are not considered studio cancellations.
ATTENDANCE & PREPARATION
Students should arrive on time and prepared with any required music, instruments, equipment, or materials. Repeated absences or lack of preparation may affect a student’s eligibility to participate in performances.
COMMUNICATION
Students and instructors should not exchange personal contact information. Communication regarding scheduling, attendance, assignments, or studio matters should take place through Fons, MakeMusic, or studio administration. Parents or guardians should be included in communication involving minor students.
PHOTO & VIDEO RELEASE
The Musician’s Den may use photos, videos, or recordings from lessons, rehearsals, performances, and studio events for educational or promotional purposes. Minor students will be identified by first name only unless additional permission is received.

HEALTH, SAFETY & CONDUCT
Students should stay home when experiencing contagious illness or symptoms such as fever, vomiting, diarrhea, or a persistent or severe cough.
Students, families, and guests must follow staff instructions and posted safety rules and are expected to communicate respectfully with instructors, staff, students, and other families. Threatening, abusive, disruptive, unsafe, discriminatory, or repeatedly disrespectful behavior may result in dismissal without refund or credit.
RELEASE OF LIABILITY WAIVER
Participation in lessons, classes, rehearsals, camps, performances, and studio events involves ordinary risks. To the extent permitted by law, The Musician’s Den is not responsible for injury, theft, loss, or damage to personal property arising from participation in studio activities.
Staff may contact emergency services or seek appropriate medical care if a parent, guardian, or emergency contact cannot be reached. All related costs are the responsibility of the student or parent/guardian.
Failure to comply with studio policies may result in dismissal without refund or credit.
POLICY UPDATES
Studio policies may be updated as needed. The most current version will always be available on The Musician’s Den website.
