TMD Studio Policies

STUDIO POLICIES – THE MUSICIAN’S DEN
(Updated May 2026)


Our studio policies are designed to support consistency, flexibility, and clear expectations for families. Please read the details below carefully, as enrollment confirms agreement to all studio policies.


The Musician’s Den operates on two main semesters and one Summer Session each year.


SEMESTER (FALL & WINTER/SPRING)
Mid-August to mid-December and mid-January to mid-May

  • 16 scheduled lessons or classes per semester
  • Tuition is divided into equal monthly payments across the semester. Some months may include more or fewer lessons due to holidays, breaks, and the studio calendar, but tuition remains the same each month.
  • Studio closures and breaks are built into the semester calendar and do not require make-up lessons


SUMMER SESSION (JUNE/JULY)

  • 7 scheduled lessons or classes during the Summer Session
  • Tuition is divided evenly across the session regardless of how lessons fall within a particular month
  • The studio is closed the week of July 4th. This break is built into the calendar and does not require make-up lessons/classes


LESSON PACKS

  • Ideal for busy families needing more scheduling flexibility
  • Lessons must be used within the semester/session in which they are purchased
  • Lessons purchased during the final three weeks of a semester may carry over into the next semester
  • Lesson-pack students may reschedule with 24-hour notice through Fons
  • Participation in performances/events is based on consistent attendance and preparedness


TUITION POLICIES

  • Monthly billing is the default payment option
  • Full semester/session payment is also available
  • Tuition is prorated for late enrollment
  • Tuition is non-refundable and no credits are issued for missed or dropped lessons/classes


ENROLLMENT CONTINUATION

  • Students are automatically enrolled in the next semester or session unless we receive a two-week notice to discontinue lessons/classes
  • Taking a break during Fall or Winter/Spring releases your reserved lesson time and preferred teacher
  • Students taking a break during the Summer Session may keep their Fall lesson time and teacher if registered in advance. Fall tuition will automatically resume on August 1
  • Fewer class options may be available during Summer Session


STUDIO EVENTS

Each semester/session typically includes at least one performance opportunity. Additional events may include workshops, showcases, karaoke nights, camps, pop-ups, or community performances based on teacher availability and student interest.


CANCELLATIONS & MISSED LESSONS/CLASSES

PRIVATE LESSONS

  • 24-hour notice is required for cancellations
  • Flexible rescheduling may be allowed for sudden illness
  • Lessons canceled without 24-hour notice are not eligible for a make-up
  • Students are responsible for scheduling make-up lessons through Fons

GROUP CLASSES

  • No make-ups are offered for group classes
  • Students may join another group if space allows

ADDITIONAL POLICIES

  • No refunds are given for missed lessons/classes due to illness, vacation, or absences
  • A substitute instructor may be assigned if the regular teacher is unavailable
  • If the studio cancels a lesson/class, it will be rescheduled or applied to an available flex week


FLEX WEEK

Each semester includes a built-in flex week to help accommodate illness, weather closures, or unexpected absences. Students still receive 16 scheduled lessons/classes per semester without requiring additional make-up lessons.


COMMUNICATION

Please do not exchange personal contact information with coaches. Communication should go through Fons messaging or studio administration.


PHOTO & VIDEO RELEASE

The Musician’s Den may use photos, videos, or recordings for promotional purposes (first names only). To opt out, please email admin@themusiciansden.net.


HEALTH & SAFETY

Students should stay home if experiencing symptoms such as fever, vomiting, or persistent cough. Missed lessons may be rescheduled according to studio policies.


RELEASE OF LIABILITY WAIVER

Participation in lessons, classes, rehearsals, camps, and studio events involves some risk. The Musician’s Den is not responsible for injuries, emotional distress, or loss of personal property.


Staff may seek emergency medical care if a parent/guardian cannot be reached. 


All related costs are the responsibility of the parent/guardian.


Enrollment confirms agreement to all studio policies. Failure to comply with studio policies may result in dismissal without refund.


POLICY UPDATES

Studio policies may be updated as needed. The most current version will always be available on our website.
