STUDIO POLICIES - THE MUSICIAN’S DEN (updated April 2025)
SEMESTER TUITION (Fall/Winter - Winter/Spring):
- Dates: Mid-August to mid-December; Mid-January to mid-May.
- Lessons and Group Classes: Includes 16 lessons/classes per semester. The number of lessons/classes each month varies due to school holidays. Some months may have 2-3 lessons while others could have 4-5, adding up to 16 lessons/classes in total.
SUMMER TUITION (June/July):
- Includes: 7 lessons/classes, adjusted for summer holidays.
LESSON PACK TUITION:
- Validity: Must be used within the semester or summer session purchased.
- Flexibility: Lessons can be rescheduled with a 24-hour notice.
- Rescheduling: Students/parents can communicate and cancel/reschedule lessons through our Fons billing/scheduling system.
TUITION INFORMATION:
- Payment Options: Monthly billing is the default, but full payment is also an option for all tuition types.
- Pro-Rated for Late Starters: Tuition is pro-rated for students joining after the session or semester start date.
- Non-Refundable: No refunds or credits are provided for tuition.
ENROLLMENT CONTINUATION:
- Automatic Continuation: Enrollment automatically continues into the next semester or summer session, securing your current day and time slot.
- Billing: Billing will proceed on the first of each month unless discontinuation notice is provided 30 days before.
- Slot Availability: Breaks will result in loss of preferred class/day/time.
- Summer Session Specifics: Not all classes offered; specifics available online and communicated via email.
HOLIDAYS:
- Studio closes during: Fall Break (one week), Thanksgiving week (one week), Spring Break (one week), July 4th week, and 2-4 weeks between semesters/sessions.
STUDIO EVENTS:
- 2-3 per semester/summer session, including workshops and end-of-semester concerts.
CANCELLATION AND MISSED LESSONS/CLASSES:
- Lessons: 24-hour notice required for cancellations, with flexibility for sudden illness. Missed lessons must be communicated in advance, or they will not be eligible for a makeup. Students are responsible for scheduling makeup lessons.
- Group Classes: No makeups for missed classes, but students may join another class if space is available.
- Refunds: No refunds for canceled or missed lessons/classes due to illness, vacations, or other absences.
- Substitute Instructor: May be provided if the regular instructor is unavailable.
- Lessons Canceled by the Studio: These will always be rescheduled.
- Discontinuing Lessons/Classes: At least 30-day notice required.
FLEX WEEK:
- Purpose: An extra week added to the semester/summer calendar allows skipping one session without requiring makeups, accommodating unexpected changes or weather issues.
POLICY CHANGES:
- Notification: We may update policies; please check our website regularly.
PHOTO AND VIDEO RELEASE:
- Use of Media: We may use photos, short videos, or audio of students for promotion, identifying them only by first name. Families wishing to opt-out should notify admin@themusiciansden.net in writing.
HEALTH & SAFETY:
- Illness Policy: Students should not attend lessons or classes if they have symptoms of illness, such as a cough or fever within the last 24 hours. Makeup lessons for illness can be rescheduled.
GENERAL LIABILITY WAIVER:
By registering for any program at The Musician’s Den, you acknowledge and agree to the following:
- Participation Risk: Lessons, classes, or events involve some risk, including injury, stress, or property damage.
- Release of Liability: The Musician’s Den is not responsible for any claims or damages arising from participation.
- Medical Emergencies: You authorize staff to secure emergency medical care if your designated contact person cannot be reached. Costs will be your responsibility.
- Policy Agreement: You agree to follow all studio policies. Non-compliance may result in dismissal without a refund.
By registering and paying for any program at The Musician’s Den, you certify that you understand and agree to these terms.
2025 SUMMER CAMP/CLASS TERMS/POLICIES:
- Payment & Refunds
Tuition must be paid in full to secure your child’s spot.
Refunds are available if cancellation is made at least 7 days before camp starts, minus a $50 non-refundable fee. After this time, tuition is non-refundable.
- Attendance & Behavior
Campers are expected to participate and follow behavior guidelines. If a camper’s behavior becomes disruptive or unsafe, parents may be asked to pick them up. There are no make-up sessions for missed camp days.
- Drop-Off & Pick-Up
Parents/guardians must drop off and pick up campers on time. If someone other than the listed authorized person is picking up, please notify us in advance.
- Health & Safety
If your child is sick or has a fever, please keep them home. We reserve the right to send a child home if they show signs of illness. Allergies and medical conditions must be disclosed upon registration.
- Photo & Video Consent
We occasionally take photos and videos for documentation and promotional purposes. Parents may opt out in the registration form.
- Instrument Policy (if applicable):
If your child owns a ukulele, hand drum, or recorder, we encourage them to bring it.
We have a limited number of extra instruments available.
- Studio Policies & Liability Waiver
By enrolling in a Musician's Den Camp, families agree to abide by all studio policies, including those related to tuition, cancellations, conduct, and liability. By submitting registration, I agree to the summer camp policies and release The Musician’s Den and its staff from liability for any injuries or losses during camp. Signature and Date:
